Loan Services

1. Borrowing
You may borrow library materials from any UTAR Library according to your borrowing privileges. Click here to view the borrowing privileges for staff, students and external members.
  • Manage your loans through your Library Account (My Bookshelf).

  • ID card is required to borrow and return the library materials.

  • ID cards are non-transferable. Do not lend or borrow the library materials on behalf of others.

  • You are responsible for borrowed items until all items are officially returned.

  • Borrowing or renewing is not allowed if you have unpaid fines, overdue books or unresolved issues with lost/damaged items.

  • Use the self-checkout kiosks and check the book’s condition before borrowing. Report any damage to library staff immediately.

2. Renewing
  1. Online Renewal: You may renew Open Shelf Books online twice, via your Library Account (My Bookshelf)

    Renewal is not allowed if:
  • The book is overdue.
  • Another user has requested the book.
  • You have reached the maximum renewal limit.
  • You have unpaid fines or overdue books.

  • Counter Renewal: Renewal can also be done at the Circulation Counter, unless:
    • Another user has requested for the book.
    • You have unpaid fines or overdue books.
    3. Returning
    Return or renew borrowed items by the due date to avoid fines. You may return books via the Circulation Counter or the book return kiosks outside the library. Click here for the Book Returning via Courier Service Guide.

    Always check your Library Account (My Bookshlef) or UTAR email to confirm returns are cleared.

    4. Reservation of Books
    You may reserve checked-out books or books on the shelves through the UTAR Library Online Catalogue. Notifications will be sent to your UTAR email once the book is ready. Pick up your reserved books within 3 days upon receipt of notification.

    5. Recall of Books
    • Book on loan may be recalled if required by another user or for teaching purposes. Recalled books must be returned within 7 days of the recall notice.

    • Books needed by multiple users may be loaned for only 3 days.

    • Overdue recalled books will incur fines.

    6. Overdue Reminders
    • A reminder email is sent 7 and 3 days before a book is due. If overdue, daily reminder will be sent until the book is returned.

    • Failure to read reminders is not an excuse for overdue returns. Regularly check your Library Account (My Bookshelf) to avoid fines.

    • Please do not depend on our reminders, as these are provided solely as a courtesy reminder.

    7. Penalties for Late Returns
    1. Overdue fines are applied as follows and are calculated from the due date until the items are returned:

    2. The following will not be accepted as valid reasons for waiving or reducing library fines:
      • Lack of knowledge of library policy
      • Disagreement with library fine structure/policy
      • Inability to pay library fees or charges
      • Book(s) loaned to a third party
      • Non-receipt or late receipt of library reminder notices
      • Out of town / back to home town
      • Forgetting the due date
      • Semester break, on leave, exams, industrial attachment
      • Transportation problems

    3. You are required to pay all fines incurred, regardless of whether a reminder notice was received. Failure to settle overdue fines will result in the suspension of your borrowing privileges. Please retain proof of payment for future reference.

    4. Students with outstanding library debts will not be allowed to attend convocation and their certificates will be withheld until such debts are cleared.

    8. Penalties for Lost or Damaged Books
    Report any lost or damaged books immediately. Penalty would be imposed for any lost or damaged due to patron’s own negligence.

    Penalties for loss or damage are:
    • Lost or severe damaged: Pat the cost of the book or replacement with a new book, plus RM25 processing fee for each item.

    9. Systems Interruptions & Breakdowns
    There will be no book loan transactions in the event of interruption or breakdown in the Library's processing system and the University is not liable in any manner whatsoever for such interruption or breakdown. Interruption to service may be due to any one or more of the events depicted hereinbelow which depiction is not by any means exhaustive: -
    • Power failure experienced within or affecting the Library;
    • Library system being down either at server's or client's end or being upgraded; and
    • Hardware failure or connection problems.
